The short answer: A group account is for organizations that travel on a schedule — church student ministries, private school athletics, and club sports programs. You send us the dates you already know about. We reserve the vans, fix your rate for the season so peak weekends do not move your budget, verify your recurring drivers once instead of every trip, and invoice you instead of taking a card at pickup. There is no fee to open an account and no minimum number of trips.

Most organizations move people one of two ways, and both have a cost that does not show up on an invoice.

The volunteer caravan. Four or five personal vehicles, each with a different driver, a different arrival time, and a different auto policy. The group gets split across cars. If one driver cancels the morning of, someone is scrambling. And the coverage question — whose policy is carrying children who are not theirs — is one most organizations would rather not answer after the fact.

The aging 15-passenger van. Many churches and schools have been steadily retiring these. The 12-passenger Transit is a different vehicle class entirely: it drives like a tall SUV, takes a regular driver’s license, and every van is 2024 or newer, still under Ford factory warranty.

How it works

1. Send your calendar. Email or text the dates you already know — retreat weekends, tournament dates, camp weeks. Approximate is fine.

2. We confirm and hold. We check the dates against the fleet and confirm which we can hold, with your rate for each.

3. Verify your drivers once. Each recurring driver completes license and insurance verification a single time.

4. Trip by trip. Confirm a week or so ahead, pick up in North Dallas or take delivery, and we invoice.

Dates change. Tournaments get added, retreats move. Tell us and we adjust.

FAQ

Is there a fee or a minimum to open a group account?

No. There is no setup fee and no minimum number of trips. If your group travels more than a couple of times a year, an account saves you time and protects your rate.

How far ahead do we need to send our calendar?

The earlier the better, because dates are held first come. Church retreat season in October and November and club tournament weekends fill first. Summer mission trips and youth ski trips are typically booked eight to twelve weeks out.

What if our dates change?

Tell us and we adjust. Schedules move, tournaments get added and retreat dates shift. That is expected and there is no penalty for it.

Can a volunteer or parent drive the van?

Yes. Any driver 25 or older with a valid U.S. driver’s license. The Transit drives like a tall SUV, so no commercial or special license is required. For a group account we verify your recurring drivers once rather than at every rental.

Do you invoice, or do we have to pay by card?

Established group accounts are invoiced. First-time bookings are typically by card, and we move to invoicing once the account is set up.

Can you deliver to our campus or the tournament venue?

Yes, for a flat fee quoted with your dates. Delivery to DFW or Love Field is available if your group is flying in.

What about insurance?

The vans carry commercial coverage and every rental runs under our written rental agreement. Drivers can use personal auto coverage or add coverage at checkout. If your organization needs specific documentation, tell us what your risk manager requires and we will tell you plainly what we can and cannot provide.
